1. Who We Are
Reid Tech Solutions, Inc. ("Company," "we," "us," or "our") operates JoB Payroll (payroll.johnonbusiness.com). This Privacy Policy explains how we collect, use, store, and disclose information when you use our Service, and describes your rights with respect to that information.
This Policy applies to all users of the Service, including business owners, administrators, and employees whose payroll information is entered into the Service.
2. Information We Collect
2.1 Account and Business Information
When you register for the Service, we collect information such as your name, email address, business name, employer identification number (EIN), business address, state of incorporation, and other information necessary to set up your payroll account.
2.2 Employee Information
To process payroll calculations, you will enter sensitive personal information about your employees, which may include:
Full legal name, address, and date of birth
Social Security Number (SSN)
Federal and state tax withholding elections (W-4, DE-4)
Compensation, pay rate, and employment type
Payroll history and year-to-date totals
Bank account information, if applicable
If you are an employer using this Service, you represent that you have obtained any necessary consent from your employees to collect and process their information for payroll purposes, and that your use of the Service complies with all applicable employment and privacy laws.
2.3 Usage and Technical Information
We may automatically collect certain technical information when you access the Service, such as your IP address, browser type, operating system, pages viewed, and the date and time of your visit. This information is used to maintain the security and operation of the Service and to improve user experience.
3. How We Use Your Information
We use the information we collect to:
Provide, operate, and maintain the Service
Calculate payroll, tax withholdings, and employer contributions
Generate payroll records, paystubs, and compliance reports
Track and display tax filing and deposit deadlines
Communicate with you about your account, billing, and the Service
Detect, investigate, and prevent security incidents and fraud
Comply with legal obligations
We do not use your data or your employees' data for advertising, profiling unrelated to the Service, or any purpose other than providing the Service to you.
4. Data Security
We take the security of your data seriously. The Service is built on Microsoft Azure cloud infrastructure and employs multiple layers of protection:
Encryption at rest: Sensitive fields, including Social Security Numbers and compensation data, are encrypted at the field level using industry-standard encryption with keys managed in a dedicated secrets management service. This means that even database administrators and infrastructure personnel cannot read this data in plaintext.
Encryption in transit: All data transmitted between your browser and our servers is encrypted using TLS (Transport Layer Security).
Network isolation: Our database and key management infrastructure are not accessible from the public internet and are protected by multiple layers of network-level access controls.
Access controls: Access to production systems is restricted and requires multi-factor authentication.
No method of electronic transmission or storage is 100% secure. While we implement industry-standard safeguards, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials.
5. Data Sharing and Disclosure
We do not sell your data or your employees' data. We do not share personal information with third parties for their own marketing or advertising purposes.
We may share information in the following limited circumstances:
Service providers: We use third-party cloud infrastructure providers to host and operate the Service. These providers process data on our behalf under contractual obligations consistent with this Policy.
Legal requirements: We may disclose information if required to do so by law, subpoena, court order, or other governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
Business transfers: In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership.
6. Data Retention
We retain your account and payroll data for as long as your subscription is active. After account termination, we retain data for a period necessary to comply with legal obligations, resolve disputes, and enforce our agreements, which may include retention required by federal and California payroll record-keeping requirements (generally four years for payroll tax records under IRS guidelines and California EDD requirements).
You may request deletion of your data at any time, subject to our obligation to retain records required by law. See Section 8 for how to make such a request.
7. California Privacy Rights (CCPA)
California residents have certain rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to:
Know what personal information we collect and how we use it
Request access to the personal information we hold about you
Request deletion of your personal information, subject to certain exceptions
Opt out of the sale or sharing of personal information (we do not sell or share your data)
Non-discrimination for exercising your privacy rights
Correct inaccurate personal information
Limit use of sensitive personal information
Note regarding employee data: Personal information about your employees that you enter into the Service is processed on your behalf as a business. Under the CCPA, your employees' rights regarding their personal information are primarily directed at you as their employer. We will cooperate with your reasonable requests to assist you in fulfilling those obligations.
To exercise your rights under California law, contact us using the information in Section 10. We will respond to verifiable consumer requests within 45 days as required by law.
8. Your Rights and Choices
Regardless of your location, you may:
Access and update your information by logging into your account settings
Request a copy of your data by contacting us via our Contact page
Request deletion of your account and data by contacting us — subject to legal retention requirements
Opt out of non-essential communications by following the unsubscribe instructions in any email we send
9. Children's Privacy
The Service is intended for use by businesses and is not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, please contact us immediately.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top and, for material changes, notify you by email or through a notice within the Service. Your continued use of the Service after the effective date of any changes constitutes acceptance of the updated Policy.
